Responsibilities

  • Manages the calendar and coordinates and/or schedules meetings for key executives.
  • Supports executives with creation of presentations, preparing reports, meeting materials, team building activities, on-site & off-site meeting coordination, event planning, and other administrative tasks assigned.
  • Support and manage the development, implementation, and ongoing management of the commission plan process, ensuring accuracy, and timely updates.
  • Manage and oversee contract processing for the sales team.
  • Assist in travel plans and itineraries for executives when needed.
  • Assist and process with expense reports for executives.
  • Assists with departmental/internal communications.
  • Takes meeting minutes, distributes and creates/tracks action items.
  • Participate in onboarding new employees to include first-day new hire preparation.
  • Contribute ideas and solutions to support current organization needs.
  • Assist in coordinating employee activities, programs and events.
  • Administer the Core Value Awards and Employee Spotlight recognition programs.
  • Maintain and/or manage confidentiality of sensitive records and information.
  • Assists in preparing internal communications such as announcements and newsletters.
  • Performs other job-related duties and responsibilities as may be assigned from time to time. 
 

Qualifications

·        Prior experience as an administrative assistant, or similar role, ideally at least 2-3 years.
·        Excellent planning/organizing skills.
·        Handling confidential information and maintaining organized filing systems.
·        Demonstrates strong organizational skills and attention to detail and accuracy, with ability to multitask, adhere to strict deadlines, and work under pressure.
·        Solid research capabilities, coupled with sound judgment, problem solving and decision-making skills.
·        Ability to work well both independently and within a team environment.
·        Excellent interpersonal skills including verbal and written communication, teamwork, and customer service skills.
·        Advanced level proficiency with Microsoft Word, Excel and PowerPoint.
·        Advanced understanding of Microsoft Outlook and desktop calendar management programs.
·        Deep understanding of both strategic and tactical business needs.
·        Keen attention to detail.
·        Notary public certification is not required but would be a valuable asset.
