The Central Operations Coordinator is an internal-facing role responsible for driving operational efficiency and effectiveness across the Courts and Justice (C&J) division. They identify operational trends through data analysis, make recommendations to improve business processes, maximize the use of corporate tools, continuously improve operational services, and minimize operational spend.  A key member of the Central Operations team, the coordinator will support third party software, hardware projects, contract and billing administration, reporting, and office management tasks. They will work closely with Tyler employees to maintain continuity of our business, ensure integrity of data systems, maintain the accuracy of our documentation, resolve issues, and coordinate activities that enable our staff and office to run smoothly and efficiently. This position requires exceptional analytical skills, high attention to detail, positive professional attitude, an innate desire to provide the highest level of customer service, and the ability to thrive in a team  environment. This individual needs to be in our Plano office at least 3 days a week.  

Responsibilities

  • Provide an in-office presence for the Operations team to serve as a point of contact for assistance with conference rooms, desk hardware, meetings, events, and other activities conducted in the Plano campus.  

  • Maintain laptops shipped to customers for training purposes, including installing security and Windows updates, managing reservations calendar, and coordinating shipping.  

  • Responsible for licensing, administration, maintenance, support, testing, and training of various third-party software tools.  

  • Maintain internal sites including Confluence, Jira Service Desk, Teams, and SharePoint.  

  • Responsible for keeping internal documentation on processes and procedures up to date.  

  • Execute contract and billing processes such as invoicing, issuing license keys, and billing audits.  

  • Track timesheet entry and project billing.  

  • Oversee the hardware refresh process for employees in the division with a focus on developing a quarterly plan to enable leadership to make financial decisions on when the spend should occur.  

  • Deliver various reports as needed for the business.  

  • Work with various teams on continuous improvement projects.  

  • Implement and monitor metrics for various initiatives, tracking efficiencies and performance to identify successes and opportunities for improvement. This includes business metrics, process efficiency metrics, employee feedback, and quality control measures.  

  • Perform other job-related duties and responsibilities as assigned.  

 

 

Qualifications

  • BS/BA degree in related field or equivalent experience.  

  • Proficiency with Microsoft Office (Word, Excel, Outlook, Teams).  

  • Ability to understand contracts, business processes, and quickly learn tool(s).  

  • Reliable, self-motivated, self-driven, task oriented with a focus on getting results quickly and on time.  

  • Excellent organizational skills with a proven record of prioritizing and executing on multiple priorities successfully, including the ability to multi-task, work as part of a team, and train employees.  

  • Excellent attention to detail with the ability to understand and think about the bigger picture.  

  • Excellent interpersonal and consultative skills, including verbal and written communication skills, facilitation, teamwork, and customer service skills.  

  • Inquisitive nature with exceptional analytical, critical thinking and problem-solving skills.

  • Ability to work independently and through partnering.  

  • Some experience and a powerful desire to learn several of the following tools is preferred: Bomgar, PagerDuty, DataDog, Atlassian JIRA, JIRA Service Desk, Confluence, PSA ChangePoint, a survey tool (such as Checkmarx or Survey Monkey).  

  • Experience with contract language and billing commitments.  

  • Proficiency with development of technical documentation preferred.  

  • Ability to proactively identify and propose changes that increase efficiency, save time and money.  

  • Ability to communicate complex quantitative analysis in a clear, precise, and actionable manner.  

  • Ability to visualize concepts and data, for example, using flowcharts to communicate business processes.

The Operations Coordinator must be able to:

  • Provide professional and personable service, maintaining composure under pressure.  

  • Adapt to new and evolving processes, products, technologies, and vendors in support of end user needs.  

  • Leverage excellent partnering, communication, and negotiating skills to meet operational goals.  

  • Complete tasks and projects independently/interdependently and proactively.  

  • Adeptly find the root cause of an issue to determine proper course of action for timely resolution.  

  • Constantly assist other team members with various operations activities, participating in problem solving, providing recommendations, and performing work as needed.  

  • Work effectively in a fast paced, team based, customer service-oriented environment.  

 

Scope and Impact

  • The Central Operations Coordinator has a direct impact on C&J employee productivity and satisfaction by providing tools and services that to enable them to conduct business functions effectively and seamlessly.  

  • Corporate teams, such as IT, Accounting, and Finance, will depend upon the expertise of this position to maximize process efficiency by serving as a skilled liaison to simplify problems and accelerate resolution.  

  • Our divisional leadership will depend upon the expertise of this position to minimize operational costs and increase productivity through the critical examination and optimization of tools and processes.
