Simplify Student Transportation Staff Training

Hiring and retaining bus drivers is no easy task, but it’s one of the most crucial for a thriving transportation operation. Federal, state, and local policies dictate numerous regulations and training practices, all designed to prepare drivers to carry the most precious cargo we know. Not only do districts and bus contractors perform numerous training sessions for each driver every year, but documenting attendance and performance in the classes is also mandated and many districts don’t have a software solution to this problem.

We have been able to record the usual driver certifications in our routing software for many years. Clients can track date-based items like CDL expirations, DOT physicals, and CPR certificates. If you have more complex needs, such as California’s mandatory T-02 report, a more robust software solution was needed, and that is why we created the Student Transportation Training Module. This add-on provides a way to schedule training events, track attendance, view events in employee records, and run comprehensive reports.

Event Types

The most common types of training — behind-the-wheel, in-service, and classroom — can all be easily managed in the Training Module, but users can also add any custom training types needed. They can also track if a vehicle is needed for the training event, reserve the vehicle(s), and take them out of the fleet rotation for that period of time.

Instructor Tracking

No matter who is executing the training, users of this new solution can track it. Internal instructors among the employee base are automatically listed, but the built-in customization means users can always add an external instructor. Additionally, they can specify which employees are authorized to instruct based on the various event types.

Training Locations

If a training is happening on-campus, within the bus garage, or any place already existing in the software, it will be pre-populated in the locations list. Custom or off-site locations can also be entered and saved for later use.

Training Events

With event type, instructor, and location ready to go, users can pull all the info together into one record. They can take attendance, track the length of the event, and mark the status (e.g., scheduled, complete, or canceled). Training events can also be copied for later use.

Employee Records

Because of complete integration with either the Student Transportation or Versatrans management solutions, the Training Module links training events directly to individual employee records. This means no double-entry or separate systems, and individual training records are available at a glance.

Reporting

This solution offers intuitive, robust reporting for the most common training needs. So, not only is it easy to enter information into the system, but it’s also easy to report on it for local, state, or federal requirements, such as California’s T-02 report.
